Subject:  Computer System Virus Warnings

PURPOSE AND SCOPE

The purpose of this policy is to establish the proper procedure that should be followed when a user of a county computer system receives a virus warning message.  Users of the county computer systems frequently receive virus or other types of warning messages from people outside the county.  It is very important that these messages be checked for validity as quickly as possible.

The scope of this policy covers all county staff members who use county computer systems.  It is essential that all employees abide by this policy so that the impact from electronic viruses can be minimized.

POLICY

This policy outlines a simple 3-Step procedure that should be followed when a user of county computer systems receives a virus warning message. 

Step 1.  When you receive a message that is from someone that is unknown to you, and if you are unfamiliar with the title of the message or if the title is of a suggestive nature, please delete the message without opening it.  These types of messages are often carriers of viruses that will invade your system when you open them or their attachments.

Step 2.  If you open a message and you suspect it contains a new virus, please notify the IT Help Desk immediately by telephone.  DO NOT FORWARD THIS MESSAGE TO ANYONE, NOT EVEN THE IT STAFF since you may propagate a virus and cause damage to other computers.

Step 3.  If the warning message is valid, the IT Technical Support staff will issue a countywide alert.  If the message is not valid, as they usually are, they will discard the message.  This procedure will save several hundred messages crossing our system.

Each user should remain alert to the possibility that you could receive a virus in your computer system.  Even though the county has a substantial defense against viruses that are directed toward our systems, there is still a small possibility that a virus could arrive undetected.  Should a virus arrive undetected, the It Department needs your assistance in detecting and removing them before they invade your system.
