Viewing & Reading Meeting Minutes Online
New Hanover County makes extensive use of Laserfiche Weblink software to make certain documents available for the public in a read-only format via a web browser. When viewing the documents via a browser the document pages are stored as images. In order to print a page, a set of pages, or an entire document, they must first be downloaded as a PDF document.
Downloading Meeting Minutes For Printing As (PDF)
Laserfiche WebLink allows the user to download images and certain electronic documents in Portable Document Format (PDF). A user can download PDF documents, just like they would download any other file from the Internet. All they need to do is select which pages in the document they would like to view in PDF format
and then click on the
(Download PDF) button.
A PDF document allows the user more flexibility when viewing and printing an image than a web browser is able to provide. Using PDF, a user can easily zoom in to an image or view multiple images. Printing images using PDF will produce a higher quality print job than an image printed from a web browser.
If the end-user does not have Adobe Acrobat Reader installed, then they will be prompted for a location to save the file. This will allow the user to save the file for later viewing. If the user has Adobe Acrobat Reader, then clicking on the link will open the document using Adobe Acrobat Reader. From that point on, the user will be able to view and print the document just like any other PDF file.
Searching Documents
The search feature helps you locate documents by looking at the document index for specific words or phrases. Laserfiche WebLink contains multiple methods of searching for information in a Laserfiche repository. Performing a search will retrieve all documents and folders that match your specified search criteria.
We recommend using the Weblink Search option. This option finds all documents that have a particular word or phrase. This option is presented to provide a search function that has a more "Internet-like" feel. If you type in multiple words, then each word will be optional (OR) for search results, instead of being interpreted as a phrase. If you would like to perform a phrase search, then you would have to place quotation marks around the phrase. In addition, the search option allows the use of the Boolean words: AND, OR, NOT, and WITHIN.
To perform a WebLink search

From the main browser toolbar, click Search.

Under the WebLink Search option, enter the word(s) that will be used to search the entire repository.

Click Search to begin searching the Laserfiche repository with the specified criteria

Once you have specified what you are looking for, you need to perform the search. Start searching by clicking Search, which can be found at the bottom of the Search pane.
View the desired search results
After performing a search, the results will be displayed in the Contents pane. A particular search result can be viewed by double-clicking it.


Limiting Search Results by Folder
Typically, performing a search will return all qualifying results, regardless of their location in the archive repository. However, you can limit search results to the contents of a particular folder. Additionally, you can choose whether search results will be returned only for the specified folder or whether the search will also include documents and folders residing in sub-folders of the specified folder. This feature can be used to reduce the number of search results that you will to deal with when you already know where the desired document or folder can be found.
Note: This feature can only be used to limit search results. It cannot be used to find all documents and folders that reside in a particular folder. As a result, you will always have to combine at least one other search criteria when limiting search results to a particular folder.
To limit search results to a specific folder

From the main browser toolbar, click Search.

If the Within Folder search option is not currently visible, click Customize Search and select Within Folder from the list.

Specify the path to the folder that you would like to search.

If you would like to include all documents and folders that reside in sub-folders of the specified folder, then you should make sure that the Search subfolders option is selected. Otherwise, you should make sure that this option is cleared.

Make sure that at least one other search criteria has been specified.

Click Search, which appears at the bottom of the search pane.

Note: By default, WebLink will automatically populate the field with the currently selected folder.
